Chat functionalities

Like other messaging services, the Drooms Chat provides various commonly known, but also some special functionalities for enhancing the chat experience. Following you find the functional details explained.

Message drafts

  1. There is no draft mode, i.e., no option to save message drafts. Messages you enter in a conversation are only kept in the working memory of your local device until you send them.
  2. However, entered, but unsent messages are kept in the Chat panel as long as you work on projects and navigate around in Drooms elsewhere, because the Drooms Chat panel is independent.
  3. If you sign out of Drooms, or leave and close or refresh the web page, or close the Drooms iOS app without sending the entered message, the message will be gone.
  4. Messages will also be discarded, if you leave a conversation using the Back icon ('<') in the top left corner of the Chat panel instead of sending them out.

Message status display

       
  1. Once you have sent a message, a tick icon in the bottom right corner of the message display means that the message has been sent, but has not been viewed, yet.
  2. An eye icon means that the message has been viewed by at least 1 person, i.e., the intended recipient in 1-1 conversations, or at least one of the recipients in group conversations.

Inserting emojis in messages

       

  1. A click on the Emoji icon below the message entry field allows to select any kind of emojis and insert them in the message.
  2. When using the Drooms iOS app, emojis can be inserted through the iPhone keyboard.

Reacting with emojis

       
  1. Hover your mouse over a message to react to it by selecting one of the seven emojis that the message pop-up tool bar currently offers.
  2. You can select only one emoji reaction per message.
  3. You can undo your emoji reaction by clicking on the emoji in the chat bubble or in the message pop-up tool bar.

Replying to messages

       
  1. Hover your mouse over a message, which you want to quote and reply to, to open the message pop-up tool bar and click on the Reply icon (back arrow, second from right).
  2. The message entry field will appear and quote the message you selected before.

Real-time responses

       
  1. If you are online and have selected a conversation you will see, if another conversation participant is currently typing in a new message.

Editing a message

       
  1. Hover your mouse over your message, which you want to edit, to open the message pop-up tool bar and click on the '(...)' icon with three dots.
  2. A pop-up menu opens. Alternatively you can also right-click on the message, which you want to edit, to open the same menu.
  3. Select the 'Edit message' option.
       
  1. The old message text will appear in the bottom message entry field and can be edited there, before sending the edited message out again.
  2. The previous message text will be replaced by the new one, but it will be noted that the message has been edited.
       
  1. You can edit your messages any time later on.
Alert
If someone has already replied to the message, the old message stays unchanged in related quotes.

Deleting a message

  1. Hover your mouse over your message, which you want to delete, to open the message pop-up tool bar and click on the '(...)' icon with three dots.
  2. A sub-menu opens. Select the 'Delete message' option.
  3. The message will be deleted, but it will be noted that it has been deleted.
  4. There is no time limit for deleting your messages.
Alert
If someone has previously replied to the message, the deleted message will still be displayed in quote.

Chat notifications

  1. When you open the Chat panel in Drooms, it will show a purple dot in front of each chat with new messages.
  2. The Drooms iOS app will likewise show a dot next to the chat icon to indicate new messages.
  3. Additionally, if you have verified your mobile phon number when signing up for the Drooms chat upfront, you will also receive push notifications on your mobile for new messages and when you should have been granted permissions to view a shared document.
  4. Administrators will be notified in Drooms, if someone requested permissions to share a document.

Muting and unmuting a conversation

  1. You can mute a conversation, if you no longer want to receive push notifications about new messages and granted permissions on your mobile.
  2. You can unmute a conversation, if you want to receive the mobile push notifications again.
  3. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  4. Select either the option 'Mute' to mute a conversation, or the option 'Unmute' to unmute a previously muted conversation again.

Distinguishing conversations and their initial naming

  1. The Chat panel lists all conversations you are part of line by line, each with a bubble on the left.
  2. For group conversations, the bubble displays the number of participants (up to 99).
  3. For 1-1 conversations, the bubble displays the initials of the contact. It shows a green dot, if the respective user was online during the last 60 minutes, and a red dot, if not.
  4. If the user does not have a name, the bubble will remain empty.
  5. Next to the bubble the conversation name is displayed. It can be an individually set name (see below), or initially consist of the name(s) of the other participant(s).

Renaming conversations

  1. You can rename any conversation
  2. Initially, the name of a conversation displays the name(s) of the participant(s) in format: last name, initial of the first name, further participants separated from each other by a slash (/).
  3. The names displayed are those that you yourself entered for the users in your contacts. If you did not enter a name for a contact, the name of the user will be used, which the user entered himself as user name in Drooms, but this can be a fake name and can be changed.
  4. If there is no name saved at all, because neither you nor your contact entered a name, the user's e-mail address will be displayed.
  5. While for 1-1 conversations the other participant's name is useful to identify the conversation, it may be more useful to rename group conversations because of the limited display space, and to better distinguish them from each other.
  6. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  7. Select option 'Rename chat'.  A pop-up dialog opens, where you can enter the desired name for the conversation and save it with a click on 'Update group chat'.
  8. The new conversation name will now be displayed for you, and for other users, once they sign in to Drooms the next time.
Notes
We recommend to rename only conversations, which you initiated yourself, as best practice.

Adding people to a group conversation

  1. You can add and invite other users to any conversation, which you are part of.
  2. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  3. Select option 'Add people' to open the 'Add new participants' dialog.
  4. Search for the user you want to add by starting to enter either the user's e-mail address, name, or phone number. An autocomplete function will list matching users, who signed up for the Drooms chat.

Conversation history for group conversations

  1. Every conversation participant sees the conversation history, and foremost, who was added or removed from a conversation.
Alert
if you do not want to share the conversation history with newly added users, you should rather create a new conversation.

Viewing all conversation participants

  1. You can look up all participants of a conversation, for example, if you want to add someone to your contacts, or remove someone from a conversation,
  2. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  3. The context menu will list the first few conversation participants directly (up to three), but if there are more than can be displayed, an option 'View all participants' will be shown.
  4. Click on 'View all participants' to pop up the separate dialog 'All participants', allowing you to view all conversation participants and to add some to your contacts, or remove them from a chat.

Adding conversation participants to contacts

  1. You can add other conversation participants to your contacts.
  2. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  3. If necessary, open the dialog 'All participants', see above.
  4. Hover the mouse over the specific user listed in the top of the context menu or in the 'All participants' dialog, and click on the 'Send message' icon on the right (second from right) to start a new conversation with the user.The user will be added automatically to your contacts then.

Removing users from a group conversation

  1. You can remove other users from a group conversation.
  2. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  3. If needed, open the dialog 'All participants', see above.
  4. Hover the mouse over the specific user listed in the top of the context menu or in the 'All participants' dialog, and click on the 'Remove from chat' icon ('x') on the right to remove the user.
  5. Every conversation participant can remove another user from a group conversation. This action will be noted in the conversation history.

Leaving a group conversation

  1. You can leave a group conversation.
  2. Select the conversation in the Chat panel and click on the '...' icon with three dots in the top right corner next to the conversation title line to open the conversation context menu.
  3. Click on 'Leave chat'. A confirmation dialog will pop up.
  4. Confirm your action. The conversation will disappear from your Chat panel.
Warning
Leaving a conversation cannot be undone.

Sharing documents and folders and viewing them

  1. Under certain conditions you can share data room documents with other users using the Attachment icon (paperclip) below the message entry field.
