Exporting Groups and Users
While you can look up online the details and settings for a single group or a single user, the Users export provides you with a convenient and cumulative group and user overview to check upon a variety of parameters:
- You can either select single or multiple groups, or all to export a list with the selected groups' users and specific group and user parameters
- You can choose to export group details with/without group status, and/or user details with/without last name, first name, e-mail address, company name, user status, invitation date, first visit, last visit
- In projects with multiple assets (data rooms), i.e., Drooms LIFECYCLE projects, you can include, which group and user has or has not access to which asset (data room).
To export the group and user details for the selected groups and their members, proceed as follows:
- After signing in to Drooms, select the project and data room whose groups and users you want to export.
- Select 'Users' in the project's and data room's tab bar to access the users section. A list with user groups will be displayed.
- Select
one or more groups (or all) for exporting the respective users and data, with a right click to open the context menu and select the option 'Export users'. Instead of using the context menu, you can also click on the button 'Export user/group details' above the list with groups and users. Without having selected specific groups, clicking on the button will result in the end in exporting user and group details for all groups and users. A modal dialog with the two tabs 'Group details' and 'User details' will
open.
- Select the group and user parameters that you are interested in, then click on 'Export'. You
will be notified once the Users export file is available for download
under 'Downloads'.
In projects with multiple assets (data rooms), the 'Group details' and 'User details' parameter selections offer an additional option 'Asset access'. If selected, the export file will show, to which of the active data rooms (assets) a group and a user as member of a specific group has general access to, apart from the particular permissions a group has been granted in that data room.
