Setting permissions

Only administrators can set permissions and control, which documents certain user groups may see, print, or download, either as watermarked .pdf, or as native file, or if other user groups may edit certain parts of a data room. -> Read more about the available different permissions in detail

To set permissions, proceed as follows:
  1. Select 'Data Room' in the navigation menu on the left to access the data room index and open the index context menu with a right mouse-click. Click on the index context menu option 'Set permissions' to open the permissions control panel in the index.           
        
  1. Alternatively you can also open the permissions control panel with a click on the 'padlock' icon at the top right of the index table header.           
        
  1. After opening the permissions control panel, a drop-down menu will allow you to select the user group(s), whose permissions should be set.      
        

  1. Click on 'Submit' in the drop-down menu underneath the group selection. The permissions control panel will display the current permissions of the selected group. A black edit mode tool bar will be displayed above the index panel. You can now safely edit and review the permissions before finally saving them.       
        
  1. To set permissions, click on any of the permission icons to either grant or deny a certain permission for a certain index point. You can also select multiple index points first (using 'Shift', or 'CMD/STRG') and then grant or deny a certain permission with a click on of the index points' corresponding permissions icons.
Please pay special attention to the edit mode tool bar options for batch setting permissions:

With 'Apply changes to all subitems', which is enabled by default in the tool bar, all permissions granted or denied for a parent folder will also be applied to all sub-items.

With 'Retain invisible items', print, save, and edit permissions can be granted or denied for folders and their sub-items, but so far invisible items will be exempt.

With 'Retain higher permissions', view, print, and save permissions can be granted for folders and their sub-items, but all already granted higher permissions will be retained.
  1. To set advanced permissions (only available if the feature module 'Advanced Permissions' has been enabled for your data room), hover your mouse over the regular edit permission toggle button, and then click on one of the three permission toggle buttons that appear for full edit, create only, or create with approval permissions to either grant or deny a certain permission for a certain index point. You can also select multiple index points first (using 'Shift', or 'CMD/STRG') to grant or deny all an advanced permissions.
        
  1. Click on 'Save' in the edit mode tool bar to save and apply the newly set permissions. If you want to dismiss your changes instead of saving them, click on 'Reset'.
You can also set permissions offline using the permissions export and import via Excel.
