Comparing permissions

When managing permissions in a data room, it can be useful to check, whether certain user groups have either the same permissions, while others explicitly have differing permissions.

To compare permissions, proceed as follows:
  1. Select 'Data Room' in the navigation menu on the left to access the data room index and open the index context menu with a right mouse-click. Click on the index context menu option 'Set permissions' to open the permissions control panel in the index.
        
  1. Alternatively you can also open the permissions control panel with a click on the 'padlock' icon at the top right corner of the index table header.        
        
  1. After opening the permissions control panel, a drop-down menu will allow you to select up to five user groups to view and compare their permissions.

  1. Permissions granted to all selected groups alike are displayed in dark blue.
  2. Permissions not granted to any of the selected groups are displayed in light blue.
  3. A yellow warning sign will indicate each permission, which has been granted to one or more of the selected groups, but not all.
To align specific conflicting permissions, or to differentiate them, proceed as follows:
  1. For a detailed view of the permissions set for the selected groups for a specific index point or folder, hover your mouse over its line in the index control panel and click on the (i) icon shown to open the 'Permissions' modal dialogue. It will allow you to change permissions for each selected group.
        
  1. To change permissions, click on any of the permission icons to either grant or deny a certain permission for a specific group.
Please pay special attention to the edit mode tool bar options for batch setting permissions.

With 'Apply changes to all subitems', which is enabled by default in the tool bar, all permissions granted or denied for a parent folder will also be applied to all sub-items.

With 'Retain invisible items', print, save, and edit permissions can be granted or denied for folders and their sub-items, but so far invisible items will be exempt.

With 'Retain higher permissions', view, print, and save permissions can be granted for folders and their sub-items, but all already granted higher permissions will be retained.
  1. Click on 'Apply' to apply the permission changes to the permissions control panel in edit mode, before saving them.
You can also compare and align or differentiate permissions for multiple user groups offline via the Excel permissions export and import.
