Sharing links to documents or folders
With the Drooms Chat you can share links to documents and folders, which you can view in a data room, with other chat participants in 1-1 as well as group chats either in the chat itself, via the index, or per drag and drop.
By sharing a document or a folder (possibly with documents inside) via the Drooms Chat, it can potentially be made accessible to other Drooms users, who are either not members of the specific project and data room, yet, or who are project members, but whose group has not been granted view permissions so far. These users may then request view permissions for the shared document or folder, to be granted by the respective project administrators.
However, it is the decision of the administrators, if they want to make the shared document or folder accessible, or not. They can deny any such request. Without the explicit permission of an administrator, the document or the folder (with documents) will not become visible.
Shared documents and folders will be available in the chat only as long as the necessary view permissions persist for the user group, to which the user belongs, the user is not moved to another group without the necessary permissions, or the data room is closed.
Sharing links to documents or folders directly in a chat
- After signing in to Drooms, open the Chat panel, select the respective chat, and click on the Attachment icon (paperclip) below the message entry field.
- A pop-up opens listing all your Drooms projects for you to select with a click on it the one , which contains the data room with the document or folder, which you want to share.
- If you select a project with multiple data rooms (like Drooms Portfolio or LIFECYCLE), a second pop-up will allow you to select the specific data room with a click on it.
- Once you have selected the right data room, a pop-up 'Share document or folder' will open and display the selected data room's index.
- Browse the index and select the document or the folder with a click, which you want to share, then click on 'Share'.
- A link to the selected document or folder will appear in the message entry field in the chat and you can optionally add a text message before clicking on 'Send' to share the document or folder with the other chat participant(s).
- When sent, a message will appear In the selected chat, containing a link to the respective data room document or folder, or a button 'Request permission' for users, who have not been granted view permissions for it by an administrator, yet.
Sharing links to documents or folders via the index
- Select and enter the project and data room in Drooms, which contains the document or folder that you want to share.
- Open the data room index and select the document or folder that you want to share.
- Open the index context menu and select option 'Share' to open the pop-up dialog 'Share document or folder'.
- This dialog requires you to select the user or the users, with whom you want to share the selected document or folder, by consecutively entering e-mail addresses or names (same method as when starting a group chat).
- Optionally add a text message, and finally decide, if you want to create a new group chat for sharing the document or folder, or not. before you click on 'Share'.
- If you do not set a tick at 'Create group chat', the message with the selected document or folder will be shared with the selected recipients in separate 1-1 chats.
- In the new group chat, or the separate 1-1 chats, a message will appear containing a link to the respective data room document or folder, or a button 'Request permissions' for users, who have not been granted view permissions for it by an administrator, yet.
Sharing links to documents or folders via drag and drop
- Select and enter the project and data room in Drooms, which contains the document or folder that you want to share.
- In parallel open the Chat tab an the right and select the chat, in which you want to share the intended document or folder.
- Now select the document or folder in the index on the left and drag and drop it directly into the chat on the right.
- A message containing a link to the document or folder, which you want to share, is automatically created and sent straight away to the chat participants, without additional message text.
- Those chat participants without view permissions for the shared document will see a button 'Request permissions' in their chat, allowing them to ask responsible administrators for respective permissions.
Viewing linked documents and folders and requesting respective permissions for viewing them
- When a document or folder has been shared with you in a chat, a message containing a corresponding link will appear, if you are member of the project, to which the shared document or folder belongs, and are member of a user group, which has been granted already at least view permissions for it. The link will show the index point and name of the shared document or folder.
- When you click on the link the respective data room and document or folder will directly be opened on the left for you to view it. If a document cannot be viewed, because it has a file format, which Drooms cannot process for online display, you have to download it and perhaps have to request download permissions from an administrator.
- If a document or folder has been shared with you, for which you do not have the necessary view permission, the message will not contain a link, but a button 'Request permissions'.
- When you click on the button 'Request permissions', a pop-up will open, where you can add a personal comment for the administrator about your request.
- Click on 'Request' to send your request. In the chat, the message display 'Request permissions' will be updated and now display 'Permission requested', and the administrators of the project and data room, to which the shared document or folder belongs, will be notified about your request. It is their decision then to either grant you the necessary permissions, or deny them.
- If the administrators should grant you the required permissions, there are two different scenarios:
- In case you were already a member of a user group in the project, to which the shared document or folder belongs, but were not able to view the document, yet, the administrators of that project actually granted your user group view or higher permissions for the shared document or folder. Your fellow group members will also be able to view the shared document or file now, whether they are part of a chat, or not. In the chat, the message with the shared document or folder will now display the corresponding link, see above.
- In case you were not a member of the project, yet, to which the shared document or folder belongs, the administrators of that project actually granted you access to the project, added you to a user group, and invited you to the project. In this case you are now an active project member with the same permissions as your fellow group members, i.e., you now may have access to other files as well visible to that group. In the chat, the message with the shared document or folder will now display the corresponding link, see above.
- If the administrators deny your request, the message box containing the shared document or folder will be updated and show either 'Request denied' (in case you are a member of a user group belonging to the project with the shared document or folder, but without permissions for it), or a blank space (in case you are not a member of the project with the shared document or folder).
If you loose the permissions to view a shared document or folder later on, because they were removed from your user group in the corresponding project, or you were moved to another user group in the project without the necessary permissions, or the project and data room containing the shared document or folder was closed, the shared document and folder will no longer be available in the Drooms Chat. If you click n any such link in a chat, the error message 'Access denied' will be shown.
