Deleting index points

Deleting index points

To delete index points they have to be moved from the index to the trash bin first, where they then can be finally deleted from, if really not needed anymore. The trash bin is available for administrators as well as user groups with partial edit permissions, but the latter will only see and have access to the content moved by themselves to the trash bin.

To move index points to the trash bin, proceed as follows:
  1. Select 'Data Room' in the navigation menu on the left to access the data room index.
  1. Open the index context menu with a right mouse click onto the index point that you want to move to the trash bin, or select multiple index points first (using 'Shift', or 'CMD/STRG'), and then open the index context menu with a right click.

  1. Click on the index context menu option 'Move to Trash Bin' to open the 'Move to Trash Bin' modal dialog.

  1. Alternatively to using the index context menu, you can also drag & drop selected index point(s) to the trash bin directly, opening the 'Move to Trash Bin' modal dialog, too.
  1. Choose between deleting your selected index point(s) including the attached document(s), or just deleting the attached document(s), retaining the index point(s) as empty document placeholder.
  1. Click on 'Move to Trash Bin' to move the selected index point(s) to the trash bin. Trash bin items can be recovered and moved back to the index any time via drag & drop or the index context menu 'Cut' and 'Paste' options.
If only attached documents are deleted, a new index point will be created for each file within the trash bin, with the document attached. If index points including the attached documents are deleted, they will be moved to the next free index poition within the trash bin. The structure of sub-items within a deleted folder will be maintained.
The trash bin documents will be billed, as they are still stored within the platform and can be moved back to the index anytime, until they are finally deleted from the trash bin. If you want to prevent trash bin documents to be billed any further, empty the trash bin and delete the documents permanently.

To delete specific trash bin items, proceed as follows:
  1. Open the trash bin context menu with a right mouse click onto the index point that you want to delete from the trash bin, or select multiple index points first (using 'Shift', or 'CMD/STRG'), and then open the trash bin context menu with a right click.

  1. Click on the trash bin context menu option 'Delete' to open the 'Delete' modal dialogue.

  1. Click on 'Delete' to confirm the delete action. Index points will always be deleted with the attached documents.
Please note that once deleted from the trash bin, index points and the attached documents cannot be recovered anymore!

To empty the trash bin completely proceed as follows:
  1. Open the trash bin context menu with a right mouse click onto the 'Trash' folder itself.

  1. Click on the trash bin context menu option 'Empty trash bin' to open the 'Empty trash bin' modal dialogue.

  1. Click on 'Confirm' to confirm the delete action and permanently delete the complete trash bin content.
For data rooms with a free preparation phase we recommend to empty the trash bin, before the free preparation phase ends and the billing starts.
