Exporting permissions

Exporting permissions

Sometimes it may come more handy to review, compare and edit permissions not online, but using MS Excel sheets, and then upload the edited permissions again.

To export permission, proceed as follows:
  1. Select 'Data Room' in the navigation menu on the left to access the data room index and open the index context menu with a right mouse-click. Click on the index context menu option 'Set permissions' to open the permissions control panel in the index.

  1. Alternatively you can also open the permissions control panel with a click on the 'padlock' icon at the top right corner of the index table header.

  1. After opening the permissions control panel, a drop-down menu will allow you to select up to five groups to export their permissions.

  1. Click on the 'Export' button at the bottom of the menu (second from left). A modal dialog 'Permissions export' will open, letting you review once more your selection of user groups.

  1. Click on 'Export' to trigger the creation of the permissions export file. When it is ready, you will be notified and can download it from 'My Downloads'. The permissions export file will contain three columns for the index ('Path', 'Description', and 'Type') stating the index point numbering, the index point description, and whether an index item is a folder or and index point. Furthermore it will contain a column for each selected user group with the respective permissions. Other data and columns possibly displayed online will not be included in the permissions export.
Alternatively, instead of creating a permissions export as described above, you can also export the permissions of up to five groups by including them in an index export. -> Read more about exporting the index
  1. You can use the permissions export to compare and review granted permissions, but also to edit the permissions offline and then import them to the data room again.-> Read more about importing permissions
