Groups play a central role in managing permissions and what users can
see and do in a data room, as the permissions are always managed on the
group level, so all users belonging to a certain group will have the
same permissions. If single
users must have particular permissions, a group can be created for each
of them. Due to the nature of the permissions model, a user can always only be member of one group at a time.
The Users section, accessible via the 'Users' tab in the left main
navigation bar, allows all members of the 'Administrators' group to
manage groups and users. Members of any other group cannot access the
user management, the 'Users' tab will not be displayed in their
navigation bar. These users cannot see any information about any other
groups or users invited to the data room.
In the Users section, administrators can:
- view the status of groups and users, read more
- create groups and add users to them, read more
- add users to existing groups, read more
- invite users, read more
- resend invitations, read more
- move users to another group, read more
- block and unblock groups and users, read more
- edit groups and users, read more
- delete users and groups, read more
- export groups and users, read more
- send messages, read more
Please note:
- Administrators group
If your data room has just been set up, only the group 'Administrators' exists. Although it can be renamed, It cannot be deleted, or blocked, and there must be always at least one active, unblocked user in this group. Drooms will ensure that the last active member cannot be blocked or moved to another group.
The first users in this group will always be the owner of the data room (Drooms FREE, Drooms FLEX), or the main contact (Drooms TRANSACTION, Drooms LIFECYCLE), as well as the user 'support@drooms.com', i.e., 'Administrator, Drooms'. Members of this group will all have the same full administrative rights in your project and are also the only users permitted to order archives or request information about the contract and data room information.
- Drooms Administrator
The Drooms Administrator account allows Drooms employees in Customer Success to access your data room, if you request administrative support and services offered by Drooms, or for troubleshooting.
By default, this user is blocked for Drooms Free and Drooms FLEX subscriptions, as these do not include project
management services. For Drooms TRANSACTION and LIFECYCLE projects, the Drooms Administrator has access to those, as any data room booked via our Sales team includes
certain project management services.
It is possible to move the Drooms Administrator to other user groups, or to block the Drooms Administrator. Drooms will then be unable to access your data room and any data contained. However, if technical support is required or data room archives are to be
ordered, the Drooms Administrator must be unblocked and be a member of the Administrators group.
